Onboarding checklist & go-live

Until ClaraPay activates your organization, the portal shows a single focused checklist at /client/onboarding instead of the full app. Work the steps in any order; each opens inline, validates as you save, and marks itself complete.

The steps

  • Company verification & W-9 — legal entity details, EIN, state of incorporation, registered address. Used for validation notices and tax reporting.
  • Contacts & roles — who we reach for operations, remittance/finance, disputes, and compliance. The dispute and compliance contacts drive legally timed responses, so get these right.
  • Remittance & banking — how collected funds come back to you (ACH, wire, or check). Banking details are encrypted; only the last four digits display after saving.
  • Creditor naming — the exact creditor name for consumer validation notices, plus the display name for consumer-facing communications.
  • Servicing policies — interest accrual, fees, credit-bureau furnishing, recall expectations.
  • Communication channel permissions — which channels (voice, SMS, email, letter) you authorize on your behalf.
  • Placement logistics — portal upload or SFTP, and your expected cadence.
  • Agreement — e-sign the collection services agreement, or sign offline (see E-signing your agreements).
  • Team invites (optional) — bring colleagues in now or later.

Submit for review

When every required step is complete, Submit for review becomes available. Our team reviews your application, may request changes, and then activates your organization.

Healthcare clients: an executed BAA is expected before go-live — your onboarding lead coordinates this alongside the checklist.

After activation

Sign-in lands on the dashboard and every portal area opens up. Nothing you entered is lost — it flows straight into your live profile and settings.
