Managing your team's seats & roles

The users page at /client/settings/users is how owners and admins administer portal access. You manage this yourself — no need to go through ClaraPay to add a colleague.

Roles

RoleWhat it can do
OwnerFull access. One per organization — the account set up first during onboarding. The owner role is reserved and reassigned only by your ClaraPay account team.
AdminFull access: edit settings, upload placements, submit recalls, send messages, run reports, and manage users.
AnalystRead access across accounts, reports, and compliance. Cannot take actions or manage users.
ViewerRead-only access. Cannot take actions or manage users.
Actions such as uploading placements, submitting recalls, composing messages, and generating custom reports are owner/admin capabilities; analysts and viewers see the data without the action buttons.

Inviting a user

1. Choose Invite user, enter their name and work email, and pick a role (admin, analyst, or viewer).
2. They receive an email invitation with a link to set their password; their row shows invited until they activate.

Grant the least role that covers the job, and reserve admin for the people who genuinely run your portal.

Offboarding and safety rails

Deactivate a user the day they leave; it takes effect immediately, and you can reactivate later. You cannot deactivate yourself, act on the owner row, or remove the last active admin — invite or promote a replacement first. Role changes are made inline on each row.

Password resets

Users reset their own passwords from the sign-in page — no admin action needed.
